The Operations Administrator supports the day-to-day operational activities of a defined area within a Section of The Emory Clinic (TEC). This role coordinates departmental activities to maintain an efficient and effective operating environment while ensuring compliance with organizational policies, procedures, and regulatory guidelines.
In partnership with section leadership, the Operations Administrator supports initiatives designed to improve operational efficiency, enhance patient satisfaction, and deliver cost-effective healthcare services. This position assists in evaluating operational performance and supports the achievement of section performance targets and financial goals.
Coordinate operational activities within the assigned clinic section to maintain an efficient and effective work environment.
Support section leadership in implementing initiatives that improve operational efficiency and patient satisfaction.
Assist with evaluating section operations and recommend process improvements where appropriate.
Ensure compliance with organizational policies, procedures, and regulatory guidelines.
Perform additional responsibilities as assigned.
Coordinate the purchase of medical and office supplies and capital equipment necessary for practice operations.
Establish and maintain inventory management systems to ensure appropriate supply levels.
Administer equipment maintenance programs to ensure timely repairs and proper functioning of office and medical equipment.
Support daily operational activities to ensure the section delivers high-quality patient care.
Communicate with patients, families, and physicians as needed to support care coordination and service excellence.
Implement initiatives designed to improve patient satisfaction and overall patient experience.
Prepare operational reports and analyses to track progress, identify trends, and provide recommendations for improvement.
Ensure timely, accurate, and complete submission of billing information to the business office to support reimbursement processes.
Review disallowance reports and investigate unusual billing or reimbursement trends.
Maintain knowledge of coding and insurance practices and collaborate with internal departments to update codes or charges when necessary.
Collaborate with leadership to develop a professional development plan.
Participate in educational in-services and training programs.
Engage in professional activities and organizations to remain informed about industry trends and best practices.
Bachelor’s degree required.
Two (2) to four (4) years of healthcare, business, or administrative experience required, preferably in an ambulatory setting.
A Master’s degree in a related field may substitute for two (2) years of experience.
Graduation from the Operations Development Program (ODP) may also substitute for experience.
Equivalent combinations of education and relevant experience may be considered.
PHYSICAL REQUIREMENTS: 1-10 lbs 0-33% of the work day (occasionally), negligible 34-66% of the workday (frequently), negligible 67-100% of the workday (constantly). Lifting 10 lbs max, carrying of small articles such as dockets, ledgers, files, small tools, occasional standing & walking, frequent sitting, close eye work (computers, typing, reading, writing), Physical demands may vary depending on assigned work area and work tasks.
ENVIRONMENTAL FACTORS: Factors affecting environment conditions may vary depending on the assigned work area and tasks. Environmental exposures include, but are not limited to: Blood-borne pathogen exposure, Bio-hazardous waste. chemicals/gases/fumes/vapors, communicable diseases, electrical shock, floor surfaces, hot/cold temperatures, indoor/outdoor conditions, latex, lighting patient care/handling injuries, radiation, shift work, travel may be required, use of personal protective equipment, including respirators, environmental conditions may vary depending on assigned work area and work tasks.
