OVERVIEW:
The Manager, Workforce Compliance ensures that all business processes are optimized and compliant with all applicable federal, state, local, and regulatory standards and aligns integration efforts with overall business goals.
This role ensures healthcare professionals meet all licensing and credentialing requirements in accordance with Emory Healthcare policies and regulatory standards.
This role leads team members verifying, tracking, and managing professional licenses, certifications, and credentials to maintain compliance and ensure all healthcare providers operate in good standing, and leads team members monitoring, auditing, and aligning HR practices to all applicable federal, state, and local requirements.
RESPONSIBILITIES:
- Collaborating with internal stakeholders such as HR partners, managers, and employees, along with external vendors and credentialing bodies to facilitate timely renewals and address compliance requirements.
- Serves as HR Compliance subject matter expert, advising HR partners and leadership on regulatory standards, employment laws, policy interpretation, and risk-mitigation best practices.
- Position is characterized by the ability to prioritize and organize multiple assignments and identify solutions to challenges as they occur in a dynamic environment.
- This role also oversees the accurate management and secure storage of employee records to comply with legal and regulatory mandates, conducts regular audits, and ensures the organization implements effective procedures and policies for maintaining accessible and up-to-date employee information.
Organizational Compliance & Employee Data Management
- Ensure accurate and confidential management of employee records, including updates for new hires and ongoing changes.
- Maintain up-to-date records in HRMS and compliance tracking systems, ensuring data accuracy and integrity.
- Oversee and support all processes related to regulatory HR requirements and all relevant HR standards, ensuring organization is meeting all requirements for full employee lifecycle.
- Oversee and support all processes related to statutory HR requirements and all relevant employment laws, ensuring organization is meeting all requirements for full employee lifecycle.
- Support leaders and employees with compliance process and updates and resolve compliance concerns / data discrepancies.
- Support HR partners in monitoring and updating processes in response to evolving statutory requirements.
- Conduct audits to ensure compliance with relevant regulatory and industry standards, such as Joint Commission, NCQA, and CMS, and to ensure compliance with all relevant HR laws such as EEO, FLSA, ADA, ACA, ERISA, and IRCA, as well as all relevant state-level legislation.
Compliance Monitoring and Auditing
- Ensure adherence to laws, regulations, and accreditation standards for all HR processes.
- Collaborate with HR and legal teams to align procedures with compliance and regulatory requirements.
- Manage employee regulatory files and audits to ensure accurate records.
- Develop ongoing internal audit plans to address compliance areas, e.g. mandatory vaccinations, annual regulatory training, credentialing, remote/out of state workers.
Communication & Stakeholder Collaboration
- Act as liaison between HR, the Workforce Compliance team, employees, and regulatory bodies to streamline compliance workflows.
- Provide guidance on compliance requirements, best practices, and inquiries, serving as SME for all concerns related to HR Compliance.
- Build and maintain relationships with internal and external stakeholders to ensure efficient workflows, high-quality service delivery and compliance with legal requirements.
- Partner with HR teams to ensure full compliance with EHC employment standards, including, but not limited to, annual regulatory training, mandatory vaccinations, and related regulatory mandates.
Operations
- identify and implement solutions to challenges, ensuring efficient and compliant processes in a dynamic environment.
- Recommend and execute process improvements to enhance compliance monitoring, credentialing systems, and data accuracy.
- Assist in developing training resources and documentation related to compliance processes and audits.
- Perform other duties as assigned, including but not limited to, strategy, oversight, implementation and support of special projects and team initiatives.
Team Management
- Lead the Workforce Compliance team in daily operations, focusing on record accuracy, data maintenance, regulatory file management and compliance auditing.
- Collaborate with the team to drive efficiency improvements and achieve key performance indicators to ensure accountability to policies and SOPs.
- Provide leadership and guidance to team members while fostering professional growth.
- Actively support team development and expertise in compliance laws, regulations, policies, and best practices.
Travel:
- Required between 10% - 25% of the time Role is hybrid, splitting time between working remotely and working in the office
MINIMUM QUALIFICATIONS:
- Bachelor's degree (or higher) in healthcare administration, business administration, or a related field and four (4) years
- Progressive experience in HR, including two (2) years of people management OR
- Six (6) years of progressive HR experience, including HR customer service, HR records management, auditing or compliance AND two (2) years of people management with a strong focus on credentialing, license tracking, employee records or service center.
Minimum Skills, Abilities, & Knowledge:
- In-depth knowledge of healthcare credentialing processes and regulatory standards or human resource processes and requirements.
- Exceptional attention to detail and accuracy in compliance tracking and record management.
- Strong problem-solving skills to resolve discrepancies in employee records and credentialing.
- Ability to manage confidential information with professionalism and discretion.
- Proven expertise in HR data management and compliance within complex organizations.
- Excellent organizational skills for multitasking and prioritizing in a fast-paced environment.
- Proficiency in HR systems, audits, and regulatory compliance practices.
- Strong leadership and communication skills for effective team collaboration.
- Competence with HR-related software, including Oracle/PeopleSoft, Workday, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio, PowerBi, etc).
Preferred Qualifications:
- Certification in Human Resources through workshops, seminars, or course work.
- SHRM-CP/SCP, SPHR, PHR, Certified Joint Commission Professional (CJCP, CPHQ), Certified in Healthcare Compliance (CHC) or other relevant certification(s).
- Demonstrated knowledge and prior experience in compliance and/or quality improvement within healthcare.
