Description

The Lead Onboarding Specialist plays a key role in overseeing the day-to-day operations of the onboarding team. This position ensures the team meets or exceeds established deliverables and service level agreements (SLAs) related to timing, service, compliance, and data accuracy. The lead serves as a liaison between the onboarding team and key stakeholders while identifying opportunities for process improvements to enhance the new hire experience.

 

KEY RESPONSIBILITIES:

 

Day-to-Day Workflow Management: 

  1. Supervise the onboarding team's daily activities alongside the Onboarding Manager to ensure efficient operations.
  2. Monitor and enhance the onboarding process by identifying opportunities for process improvements, efficiencies, and innovations. 
  3. Act as a primary contact between the onboarding team and key stakeholders, including system administrators, HR Data Services, Talent Acquisition, Employee Health, and others.

Tier 1 Escalations: Serve as the primary point of contact for routine and moderately complex onboarding issues, providing troubleshooting and resolution support.

 

Process Oversight: Review background checks, conduct quality audits for data integrity, and oversee new hire data collection/Form I-9 compliance to maintain adherence to SLAs, compliance standards, and internal policies.

 

Pre-Adverse Action Process Management: Process formal rebuttal statements to ensure consistency and fairness in background review decisions.

 

Team Communications: Monitor and manage communications within the onboarding mailbox, ensuring timely responses from the team.

 

Reconciliation of Pre-Start Hang-ups: Verify data integrity in PeopleSoft to support the onboarding team in efficiently processing candidates through ICIMS. Internal

 

Transfer Onboarding: Manage the onboarding of internal transfers in compliance with established standards to ensure a smooth transition for employees.

 

*This is a hybrid position, spilting time between working remotely and working in the office. Less than 10% travel may be required.

 

MINIMUM QUALIFICATIONS:

 

Education: Bachelor's degree in Human Resources, office administration, or other office environments.

 

Experience: A minimum of 3 years of related experience

 

Skills: 

  1. Strong proficiency in background reviews in accordance with state and federal guidelines.
  2. Excellent oral and written communication skills in addition to experience in systems such as Microsoft Office and ATS systems.
  3. Exceptional organizational skills with the ability to efficiently manage time, prioritize assignments, and manage competing priorities in a fast-paced and dynamic environment.
  4. Proven ability to manage a large and variable workload while ensuring the timely and accurate completion of tasks.
  5. Strong problem-solving abilities, with the capacity to handle both routine and complex issues effectively and efficiently.
  6. Ability to work well under pressure and meet deadlines in a high-stakes, fast-paced environment
