Description

The Events and Planning Specialist is responsible for planning and executing a wide range of recruitment events including conferences, job fairs, open houses, seminars, corporate meetings, social events, and more across Emory Healthcare. Coordinates all logistical and operational aspects of events, such as venue selection, catering, décor, entertainment, transportation, and AV requirements. Develops and manages event budgets, ensuring all expenditures remain within the allocated budget. May be responsible for sourcing and negotiating with vendors and suppliers to ensure the best pricing and terms for services.

Event Planning & Coordination:

  • Lead and coordinate the planning and execution of in-person and virtual hiring events, including job fairs, recruiting events, webinars, and other recruitment marketing initiatives.
  • Collaborate with internal stakeholders (HR, hiring managers, marketing teams) to design and develop events that meet the talent needs of Emory Healthcare.
  • Manage event logistics, including venue selection, registration, event set-up, staffing, and post-event follow-up.

Candidate Engagement & Experience:

  • Ensure a positive, seamless, and professional experience for all event attendees (internal and external candidates).
  • Assist candidates during events by answering questions, providing information about the organization, and guiding them through the interview or recruitment process.
  • Follow up with candidates post-event to ensure next steps are clear and support them through the interview and hiring process.

Collaboration & Communication:

  • Work closely with the Talent Acquisition team to align recruitment strategies with hiring needs and ensure event goals are met.
  • Communicate event details and expectations to internal stakeholders and participants to ensure successful event outcomes.
  • Develop and maintain strong relationships with external recruitment partners, vendors, and community organizations to ensure broad event promotion.
  • Research recruitment opportunities that align with the recruitment needs of Emory Healthcare

Marketing & Promotion:

  • Assist in creating and distributing event materials (digital, print, social media) to attract attendees.
  • Leverage Emory Healthcare’s online platforms (social media, job boards, etc.) to promote upcoming events and drive attendance.

Data Tracking & Reporting:

  • Track event performance and attendance, collecting feedback from candidates and internal stakeholders to assess the success of each event.
  • Provide regular reports and updates to the Talent Acquisition team on event outcomes, trends, and areas for improvement.

Budget Management:

  • Assist in managing the event budget, ensuring cost-effectiveness and adherence to allocated spending.

Continuous Improvement:

  • Stay current with trends in talent acquisition events and recruitment marketing best practices, continuously proposing new ideas to improve event effectiveness and candidate engagement.


MINIMUM QUALIFICATIONS:

  • Bachelors degree in Hospitality Management, Event Planning, Marketing, or related field preferred.
  • Proven experience (2 years) in event planning and management desired.
  • Strong organizational and project management skills, with keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to build relationships with vendors, clients, and team members.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Creative thinking and problem-solving skills.
  • Flexibility to work evenings, weekends, and travel throughout all Emory locations as needed for events.
